However, we will never publish a minor’s full name alongside their image on public-facing social media without parental authorization. CarShield FC does not sell, rent, or lease player or parent contact lists to third parties. Information is shared only with:
- Governing Leagues: For official carding and insurance purposes.
- Secure Platforms: Trusted sports management software (e.g., GotSport, PlayMetrics) used for club operations.
- Legal Necessity: When required by law or to protect the safety and vital interests of our members.
4. Data Retention and Accuracy
- Retention: We retain personal information only as long as necessary to fulfill the purposes for which it was collected or to comply with legal, tax, or sports-governing reporting requirements.
- Accuracy: We rely on members to provide accurate data. Parents have the right to review, update, or request the deletion of their family’s personal data at any time by contacting the Club Registrar.
5. Security Safeguards
We implement industry-standard security measures—including encryption and access-controlled databases—to protect against the loss, theft, or unauthorized modification of your data. Only authorized club personnel with a “need to know” (Registrars, Treasurers, and Head Coaches) are granted access to sensitive player files.
6. Policy Updates
CarShield FC reserves the right to modify this Privacy Policy at our sole discretion. Any significant changes will be communicated via the club website or email to ensure transparency with our membership.
7. MEDIA RELEASE & LIKENESS AUTHORIZATION
Consent by Registration: By completing the registration process and participating in CarShield FC programs, the Member (on behalf of themselves and the Player) hereby grants CarShield FC, its representatives, and employees the irrevocable right to take photographs, video, and audio recordings of the Player and/or Member in connection with club activities.
Scope of Use: The Member authorizes CarShield FC to use, edit, copy, publish, or exhibit such media for any lawful purpose at the Club’s sole discretion, including but not limited to:
- Digital Media: Club website, social media channels (Instagram, Facebook, Twitter/X), and email marketing.
- Advertising & Print: Promotional flyers, brochures, banners, and billboards.
- Commercial Use: Television commercials, highlight reels, and news features.
Terms of Authorization:
- No Compensation: All media is used on a royalty-free basis. No financial compensation or further approval rights will be provided to the Member or Player for the use of such materials.
- Waiver of Liability: The Member waives any right to inspect or approve the finished product and releases CarShield FC from any liability related to the use or alteration of the media.
Opt-Out Provision: This authorization remains in effect indefinitely unless the Member notifies the Club Registrar in writing of their desire to opt-out.
- Written notices must be sent via email to the Registrar and must include the Player’s full name and team.
- Please note that while the Club will make every reasonable effort to honor opt-out requests for future materials, we cannot recall or remove printed materials or previously published digital content already in circulation.
